The Complete AI Trip Planning Guide
How to plan any trip using AI — from weekend getaways to month-long adventures. Templates, techniques, and real examples.
The Complete AI Trip Planning Guide
From "I need a holiday" to "I'm packed and ready" — using AI the whole way.
Step 1: Define Your Trip DNA
Before you prompt anything, answer these five questions:
| Question | Why It Matters | Example |
|---|---|---|
| How many days? | Determines destination options and pacing | "8 days including travel" |
| What's your budget? | Filters destinations, accommodation, activities | "$3,000 total for 2 people" |
| What energises you? | Shapes daily itinerary density and type | "Food, walking, markets, architecture" |
| What drains you? | Prevents AI from over-scheduling | "Museums after 2pm, packed beaches, guided tours" |
| Any hard constraints? | Non-negotiables | "Must have direct flight from JFK, needs wheelchair accessibility" |
Step 2: Destination Selection
The Discovery Prompt
"I loved [PAST TRIP] because of [SPECIFIC THINGS]. I have [DAYS] days in [MONTH] with a budget of [AMOUNT]. Suggest 5 destinations that capture similar vibes but are different enough to feel fresh. For each, give me: why it fits, best time to visit, estimated daily cost, and one thing that might put me off."
The Comparison Prompt
"Compare [DESTINATION A] vs [DESTINATION B] vs [DESTINATION C] for a [TRIP TYPE] trip in [MONTH]. Compare on: weather, cost, food scene, safety, crowds, cultural interest, and ease of getting around without a car. Present as a table."
Sample output:
| Factor | Porto | Split | Tbilisi |
|---|---|---|---|
| Weather (April) | 18°C, some rain | 19°C, mostly sunny | 17°C, dry |
| Daily budget (mid-range) | $120-160 | $90-120 | $50-80 |
| Food scene | ⭐⭐⭐⭐⭐ | ⭐⭐⭐ | ⭐⭐⭐⭐ |
| Safety | Very safe | Very safe | Safe (petty crime in tourist areas) |
| Tourist crowds | Moderate | Low (pre-season) | Low |
| Car-free? | Yes — walkable + metro | Yes — walkable old town | Yes — metro + cheap taxis |
| Surprise factor | Low (well-known) | Medium | High |
Step 3: Build the Itinerary
The Day-by-Day Prompt
"Create a day-by-day itinerary for [DAYS] days in [DESTINATION].
Travellers: [WHO]
Arriving: [DATE/TIME] at [AIRPORT]
Departing: [DATE/TIME] from [AIRPORT]
Accommodation: [AREA/TYPE]
Interests: [LIST]
Energy level: [PACKED / MODERATE / RELAXED]
Budget per day (excluding accommodation): $[AMOUNT]
For each day include: morning/afternoon/evening activities, specific restaurant recommendations (not just 'find a local restaurant'), transport between locations, estimated costs. Note any advance bookings needed."
Adjustments to Make
After the AI generates the itinerary:
- Check pacing — More than 3 major activities per day is exhausting
- Verify distances — AI sometimes puts activities 45 minutes apart without noting it
- Confirm hours — Opening times can be wrong or out of date
- Add buffer — Build in at least one "free" half-day per 4 days
- Cross-reference restaurants — Check Google Maps reviews for anything AI recommends
Step 4: Flights & Accommodation
The Flight Prompt
"I need flights from [ORIGIN] to [DESTINATION] around [DATE] for [PASSENGERS]. I'm flexible ±[DAYS]. Find the best balance of price, travel time, and convenience. Show me 3-5 options with pros/cons."
The Hotel Prompt
"Find accommodation in [DESTINATION] for [DATES], [GUESTS]. Budget: $[RANGE]/night. Priorities: [LOCATION/QUIET/POOL/KITCHEN/etc]. I prefer [HOTEL/AIRBNB/BOUTIQUE]. Must be within walking distance of [AREA]. Give me 5 options with links."
Booking Strategy By Destination Type
| Destination Type | Book Flights | Book Hotels | Why |
|---|---|---|---|
| Major city (London, Paris, Tokyo) | 8-12 weeks ahead | 6-8 weeks ahead | Demand is steady; early = best prices |
| Beach/resort | 10-14 weeks ahead | 8-12 weeks ahead | Seasonal demand spikes; late = limited options |
| Off-the-beaten-path | 4-6 weeks ahead | 2-4 weeks ahead | Low demand; flexibility has value |
| Festival/event | 16-20 weeks ahead | ASAP | Limited supply; prices skyrocket close-in |
Step 5: On-the-Ground AI
Once you arrive, AI becomes your real-time travel companion:
- Real-time translation: Google Translate camera mode for menus, signs, documents
- Local guidance: "What's the best coffee shop within a 10-minute walk from [LOCATION]?"
- Problem solving: "My train was cancelled. What's the next option to get from Florence to Rome?"
- Budget tracking: "I've spent $180 today. I have $540 left for 3 days. Am I on track?"
- Cultural context: "What should I know about tipping/dress code/greetings in [COUNTRY]?"
Real Example: 5-Day Porto Trip
The prompt:
"Build a 5-day itinerary for Porto, Portugal. Two adults, mid-budget ($150/day excluding hotel). We love food, wine, architecture, and walking. We hate guided tours and crowded tourist traps. We prefer local, authentic experiences. Arriving Monday 10am, departing Friday 8pm."
AI-generated highlights:
| Day | Morning | Afternoon | Evening |
|---|---|---|---|
| Mon | Arrive → check in Ribeira area → walk riverfront | Livraria Lello (book early), Clérigos Tower | Dinner at Cantinho do Avillez, port tasting at Graham's |
| Tue | Bolhão Market (recently renovated) → coffee at Majestic | Cross to Vila Nova de Gaia, cellar visits (Taylor's, Sandeman) | Sunset from Jardim do Morro, dinner at Taberna dos Mercadores |
| Wed | Day trip: Douro Valley wine tour (train to Pinhão) | Quinta visit and tasting | Return to Porto, late dinner at Adega São Nicolau |

Estimated daily spend: $130-160/day (meals, transport, activities, wine) — within budget.
